As part of the ongoing development of our firm, we are looking for an Office Coordinator to support our Talent & Culture team in the Montréal office. The ideal candidate has at least 3 years of relevant experience and a strong interest in people, coordination, and administration. The Office Coordinator plays a key role in the daily operations of the office. As a true logistical and human pillar, this person helps create a pleasant, functional, and motivating work environment. They also support the leadership team in coordinating events, trainings, and internal activities, while ensuring administrative operations run smoothly.

Main Responsibilities

  • Maintain positive relationships with employees and suppliers (stationery, maintenance, technical services).
  • Manage inventory and orders for office supplies and consumables (milk, coffee, etc.); track office expenses and suggest optimization opportunities.
  • Greet visitors, clients, and employees at the reception desk with professionalism.
  • Play a key role in onboarding new employees (both administrative and people-focused aspects).
  • Ensure cleanliness and proper setup of common areas and meeting rooms; coordinate cleaning services.
  • Perform general administrative tasks (copies, mail, receiving and distributing packages) and provide occasional support for coordinating business travel (flights, hotels, transportation).
  • Carry out more specialized administrative tasks (Chamber of Commerce bookings, seals, CEBQ, etc.).
  • Support the Talent & Culture team with onboarding processes.
  • Maintain physical and electronic archives (filing, scanning, archiving).
  • Manage access and the firm’s architect seal registry.
  • Coordinate internal training sessions (room bookings, vendor coordination).
  • Participate actively in the Social and Health & Safety committees (operational representation and equipment room inventory).
  • Coordinate internal events (5 à 7 gatherings, BBQs, celebrations, wellness initiatives).
  • Support internal communications (Teams, posters, weekly newsletter).

Your Profile

  • Between 3 and 5 years of experience in a similar role.
  • Diploma of vocational studies, college degree, or university certificate in administration, office management, hospitality, or equivalent.
  • Strong enthusiasm for varied administrative tasks.
  • Strong organizational and coordination skills.
  • Highly dynamic, personable, and comfortable interacting with a wide range of people.
  • Excellent command of Microsoft Office.
  • Bilingualism (French/English) is an asset, as you will also collaborate with our Ontario office.
